SUMMARY

The Secretary II accurately and thoroughly performs general receptionist, secretarial and clerical duties on the assigned nursing unit. Demonstrates a welcoming and friendly attitude to all customers including patients, families, visitors, staff and physicians. The candidate will support the Director and Nurse Manager of the department and will be located within the office.  Must be highly proficient in Microsoft products, especially Excel and Outlook.  Kronos experience a plus.  Must also be willing to flex hours before and after 6:30a - 3p shift, Monday thru Friday.  Must be able to handle high volume assignments and remain calm under pressure.  Must possess excellent written, verbal and interpersonal communication.  

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Greets and receives visitors. Provides assistance or refers individuals to the appropriate source.
     
  2. Handles all incoming telephone calls while maintaining confidentiality and determining the urgency or nature of the calls. Schedules appointments and meetings. Directs calls to the appropriate personnel.
     
  3. Performs typing, transcribing, scanning, photocopying, faxing and filing of information for office operations.
     
  4. Ensures the timely ordering of supplies.  Receives and assists with proper storage of supplies by sorting, assembling and distributing supplies.
     
  5. Promotes and maintains a strong public relations image in dealing with physicians, patients, staff, visitors and ancillary departments.
     
  6. Exhibits patient and family centered approach that promotes and enhances unit teamwork.

 

  1. Serves as a resource to other secretaries in the policies and procedures of Presence Health.

    Education and/or Experience                                                             
    High School diploma or equivalent required. One year of secretarial experience required.
